Privacy policy

FlatPress respects the privacy of every person who sends an enquiry, requests support or buys from us. This policy explains how we collect, use, store and protect personal information in line with POPIA.

Who controls your personal information

This privacy policy applies to personal information handled by FlatPress, operated by Astros Marketing (Pty) Ltd, from our Midrand base and in connection with our work across Gauteng and nationwide. It covers clients, prospective clients, suppliers, technicians, trainees and any visitor who submits details through our contact form or otherwise engages with us for products or services.

We process personal information only for lawful and legitimate business purposes. That includes providing quotations, arranging setup, booking training, supporting repairs, managing deliveries and keeping accurate records of work completed. We do not sell your personal information.

What information we collect

We collect only the information needed to respond properly and carry out the service you ask for. This may include your name, business name, physical address, delivery address, contact details, VAT or company registration details where relevant, and information about the machine, issue or order you want assistance with.

  • Enquiry and order details submitted through our contact form
  • Technical infomation about presses, controllers, elements, pads, covers and related parts
  • Delivery and installation details for locations such as Johannesburg, Pretoria, Durban, Cape Town and Bloemfontein
  • Service history, training records and support notes linked to your account

Why we use your information

We use personal information to quote accurately, provide support and keep your account records in order. This includes scheduling installations, confirming spare parts availability, arranging courier deliveries and following up on service work or training sessions. We may also use your details to respond to after-sales queries and to manage warranty or workshop assessments where applicable.

Where you have asked for assistance, we rely on that request to process your information. In some cases, we also process information to comply with legal obligations, accounting requirements, safety obligations or legitimate business interests related to service delivery and record keeping.

  • Processing and responding to enquiries
  • Delivering equipment or spares
  • Providing operator training and technical support
  • Managing servicing, repairs and loan unit support
  • Keeping tax, accounting and compliance records

How we protect and store information

We take reasonable technical and organisational steps to protect personal information from loss, unauthorised access, misuse or disclosure. Access is limited to staff who need the information to perform their duties, including sales, technical support, training, logistics and customer care.

Records may be stored in secure electronic systems and, where necessary, in hard copy form. We keep information only for as long as required for the purpose it was collected for, or for as long as the law requires. We review records periodically and dispose of them safely when they are no longer needed.

Because our work involves equipment support, some service notes may remain on file for continuity of care. This helps us track temperature checks, pressure adjustments, controller repairs and other maintenance over time.

When we share information

We share personal information only where it is necessary to complete the service, meet a legal duty or support your request. That may include sharing delivery details with a courier, passing installation information to a technician, or giving workshop staff access to the service history of a machine. We use trusted service providers only for business functions they need to perform on our behalf.

Any third party handling personal information for us must protect it and use it only for the agreed purpose. We do not authorise unnecessary disclosure. Where information is shared outside South Africa, we will take steps to ensure that a proper level of protection is in place.

Your rights under POPIA

You have rights in relation to your personal information, subject to legal limits. You may ask us to confirm what we hold, to correct inaccurate details, or to request deletion where the law allows it. You may also object to certain processing or withdraw consent where consent was the basis for the processing.

  • Ask for a copy of the personal information we hold about you
  • Ask us to fix or update your information
  • Request deletion where we are not legally required to keep it
  • Object to direct marketing where applicable
  • Lodge a complaint if you believe your information has been mishandled

To exercise these rights, please use the enquiry form on our contact page and include enough detail for us to identify your request. We may ask for proof of identity before making changes, which is normal to protect your information.

Cookies, website use and policy updates

Our website may use basic cookies or similar tools to support normal site functions, improve performance and understand general usage patterns. These tools do not identify you on their own unless you voluntarily provide personal information through a form or other contact method. You can adjust browser settings if you want to limit cookies, although some parts of the site may not work properly without them.

We may update this policy from time to time to reflect legal changes, operational needs or changes in how we handle information. The latest version will apply from the date it is published. Please review it periodically so that you stay informed about how we manage personal information.

If you continue to engage with us after a change has been published, that does not affect your rights under POPIA.
